The practical checklist

Prepare an identity document, codice fiscale, proof of work or study, evidence that the rent is affordable, your intended dates and a short renter introduction. A landlord may also request a guarantor or additional financial evidence.

Core identification and application details

  • Passport or national identity card: a clear valid copy for each proposed tenant.
  • Codice fiscale: the Italian tax code used to identify parties in contracts and registration.
  • Contact and household details: names, number of occupants, move-in date and expected duration.
  • Current address: especially useful when the application is made before arrival.

Keep names identical across the passport, tax code and contract. Transliteration differences should be resolved before signing.

Employees, freelancers and overseas income

Landlords usually want to understand whether the rent is sustainable. An employee file may include a work contract, employer letter and recent payslips. A freelancer may use tax returns, invoices or bank evidence. If documents are not in Italian, add a one-page English or Italian summary that explains employer, currency, monthly net amount and contract length.

Do not send a folder of unexplained statements. A short cover page that connects the evidence to the monthly rent is easier to evaluate and exposes less irrelevant information.

Documents for students

A student application commonly includes enrolment or admission, course dates, identity documents and financial support evidence. Where the student has limited income, the owner may ask for a parent or other guarantor. Prepare the guarantor's identification and income evidence only when needed and make clear which person will sign which obligation.

Visa and residence context

The exact immigration document depends on nationality, length and purpose of stay. A landlord may ask to understand your lawful stay and likely duration, but a rental checklist is not a substitute for immigration advice. Provide the relevant visa or residence-permit context without sharing unrelated sensitive material.

If you have not yet received the final document, explain the stage and show the official receipt or appointment evidence where applicable. Ask the owner what they require before sending it.

How to build a renter file that is easy to accept

  1. Create a one-page introduction: occupants, work/study, dates and reason for moving.
  2. Name files clearly: 01-passport.pdf, 02-codice-fiscale.pdf, 03-employment.pdf.
  3. Combine repeated pages into one ordered PDF rather than ten message attachments.
  4. Translate the meaning of foreign income figures and currencies.
  5. Keep a version with sensitive numbers redacted for early enquiries and an unredacted version for a verified counterparty.

Share documents safely

Identity and financial files can be misused. Confirm who receives them, which agency or owner they represent and why each document is needed. Use a verified email domain or controlled link where possible. Watermark early-stage copies with the date, recipient and “rental application only” without hiding information needed for evaluation.
